Policies and Procedures

The following policies and procedures are not intended to be a comprehensive review of all policies or procedures that apply to UA students. Instead, these policies are provided as references for students participating in the conduct process and for stakeholders who may be searching for policies applicable to a certain situation. Students are responsible for reviewing and understanding the Code of Student Conduct, Student Handbook and other applicable policies while a member of the UA community.

Conduct Verification

Students and alumni who are applying to academic institutions or for employment which requires a disclosure of prior conduct information are encouraged to honestly answer the questions that are posed regarding conduct history. If you are unsure of your prior conduct history, please submit an e-mail with your name and CWID to student.conduct@sa.ua.edu

Please note that the Office of Student Conduct does not release prior conduct information over the phone, as we are unable to verify the identity of the caller.

Any document requiring academic and conduct verification can be dropped off, e-mailed or mailed to the Office of Student Conduct and it will be forwarded to the Registrar’s Office for academic verification.

Any document requiring only conduct verification can be dropped off, e-mailed or mailed directly to the Office of Student Conduct located in Burke East. Faxes will be accepted if the agency/institution requiring verification will accept a fax from our office.

Please make sure that you have completed the following items:

  • Signed and dated the student authorization section of the form.
  • Enclosed a stamped and addressed envelope for each certification.
  • If you are not providing a stamped envelope please leave your phone number or e-mail address so that you can be contacted when the form is ready for pick up at the Office of Student Conduct. If the institution requesting the certification accepts faxes please indicate it on the form and include the fax number. The Office of Student Conduct will fax the completed certification directly to the institution.
  • Take any document requiring a character/personal reference to a Professor or Dean’s office for completion of an evaluation. Please make sure that they leave any sections related to dates of attendance or academic or disciplinary standing blank. The Registrar and/or Office of Student Conduct are the only UA officials who can verify that information.

The disciplinary/conduct record verification process usually takes 7-10 business days.  Please allow more time during holiday break periods and application deadline windows when a large number of forms are received.

Dangerous Weapons and Firearms Policy

UA seeks to maintain a welcoming and safe educational environment for students, employees, residents, and visitors, and enforces the Dangerous Weapons and Firearms Policy, applicable to the entire UA campus and all UA events.

Disciplinary Holds

A hold may be placed on a student’s record for the following reasons:

Failure to Schedule or Attend a Meeting

Once an incident is reported and reviewed by the Office of Student Conduct, an email notification will be sent informing the student of the alleged violations of the Code of Student Conduct. The student has (2) two business days from the date of the email to schedule an investigative meeting. Failure to schedule and/or attend the scheduled meeting can result in a disciplinary hold being placed on the student’s record until they attend the meeting.

Assigned Sanctions Not Completed

After a student is found responsible for the alleged violation(s) of the Code of Student Conduct and is assigned sanctions, failure to complete the sanctions by the deadline will result in a registration hold.

Interim Measures

If a student has been placed on interim measures and has a pending investigation or hearing, a registration hold will be placed on the record.

Suspension

When a student is suspended from the university as a result of being responsible for a violation of the Code of Student Conduct, a registration hold is placed on the student’s record which prevents advanced registration until the student has completed all sanctions and has met with a staff member from the Office of Student Conduct before seeking readmission/re-enrollment.

Expulsion

If a student is expelled from the university, a permanent registration hold will be placed on the student’s record.

Student Organization Holds

An organization that fails to complete or comply with any sanctions may be subject to additional measures from the Office of Student Conduct including a hold on social event reservations, space reservations on campus, or loss of student organizational seating at athletic events.

HRC Community Living Standards Policy

Student Conduct follows UA’s Housing and Residential Communities (HRC) Community Living Standards Policy for community living standards for all students who are living on campus in an HRC administered building.

Medical Emergency Assistance Policy

The University of Alabama community views the health and safety of our students as a top priority. The Medical Emergency Assistance Policy encourages members of the University community to be accountable, make responsible decisions, and seek medical assistance and treatment when faced with an alcohol or other drug-related potential emergency (including but not limited to alcohol poisoning, or health related complications from other drug use). This policy seeks to diminish fear of disciplinary and conduct sanctions in such situations and to encourage individuals and organizations to seek needed medical attention for students in distress from alcohol or other drug issues.

The Medical Emergency Assistance Policy is part of The University of Alabama’s comprehensive approach to reducing the harms and risks associated with alcohol and other drug usage. This policy is implemented by the Office of the Dean of Students in conjunction with their designee within the Office of Student Conduct. The Medical Emergency Assistance Policy applies to students seeking and obtaining medical assistance on their own behalf, students seeking and obtaining medical assistance on the behalf of another student, and student organizations seeking and obtaining medical assistance on behalf of a member or guest.

Record Retention

Disciplinary sanctions, with the exception of University expulsion, shall not be made part of the student’s permanent academic record (official transcript), but shall become part of the student’s confidential disciplinary record, subject to the Family Educational Rights and Privacy Act (FERPA).

Pending cases will be retained as long as is administratively necessary as determined by the Conduct Administrator. Cases involving expulsion or suspension will be retained indefinitely. Other student conduct files will be retained for seven (7) years following the incident or until the student leaves the university, whichever is longer. If a student under the age of twenty-one (21) is found responsible for a violation of University policy involving alcohol and/or other drugs, the University may notify the student’s parent(s) or guardian(s).

The Alcohol and Other Drug Policy for Students provides information to educate students about the danger and harm that occurs with the misuse and abuse of alcohol and other drugs, in addition to their impact on the health and academic success of students.
